Responsible for providing effective and efficient administrative support to the businesses/functions under the care of Sales Director


  • Schedule and coordinate meetings, itineraries, travel and accommodation arrangements for Sales Director, department, visitors and guests
  • Maintain Sales Director’s calendar and schedule as well as a master calendar of departmental priorities, milestones and deadlines
  • Coordinate and facilitate events and functions including liaising with internal and external stakeholders
  • Prepare and distribute correspondences, reports, presentation materials and take meeting minutes
  • Attend to calls & general enquiries and take & disseminate messages
  • Handle all incoming and outgoing documents
  • Ensure all documents & records are complete & up to date and maintain an effective filing system
  • Keep track of and review timesheet submissions
  • Handle all aspects of training administration from registration, payment, tracking departmental staff training hours and report submissions to HR
  • Prepare and monitor department(s) administrative budgets and expenses
  • Manage all office administration activities including purchases, ordering, processing invoices, generating purchase orders and expenses
  • Assist in treasury and company secretarial duties
  • Supervise Sales Director’s driver and schedule


  • At least 5 years’ experience in administrative or secretarial duties
  • Minimum Diploma in Business Studies/Administration/Management, Secretarial or equivalent
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Good command of written and spoken English & Bahasa Malaysia, proficiency in Mandarin is an added advantage
  • Matured, independent and results oriented
  • Possess strong organisation skill, is meticulous with a high level of confidentiality
  • Pleasant personality with good interpersonal and communication skills
